Privacy Policy
Llantrisant Male Choir is a registered charity in England and Wales (charity no. 1201350). This page explains what personal information we collect through this website, why, and what we do with it. The short version: we collect only what you give us through our forms, we use it only to reply to you and keep you informed, and we never sell it or pass it to anyone else for their marketing.
What we collect, and why
If you enquire about booking the choir (through our Book the Choir form or by email): your name, email address, phone number if you give it, and the details of your event. We use these to respond to your enquiry and arrange the booking. Legal basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to enquiries.
If you're interested in joining the choir (through our Join Us form): your name, email address, phone number if you give it, and anything you choose to tell us. We use these to get in touch, answer your questions and invite you to a rehearsal. Legal basis: our legitimate interest in responding to your enquiry.
If you join our mailing list: your name and email address, which we use to tell you about forthcoming concerts and choir news — nothing else, ever. Legal basis: your consent, which you can withdraw at any time by using the unsubscribe link in any email or by contacting us.
If you email us directly: we'll hold your message and contact details for as long as needed to deal with your enquiry.
Where your information lives
Our website is built on Squarespace, and form submissions are delivered to our email system, which is provided by Google Workspace. We may also store contact details in a customer relationship system (HubSpot) to help us keep track of enquiries and mailing-list preferences. These providers process data on our behalf under their own GDPR-compliant terms, and some may process data outside the UK under appropriate safeguards (such as the UK Extension to the EU–US Data Privacy Framework or standard contractual clauses).
Access to your information within the choir is limited to the small number of members who handle enquiries, bookings and communications.
How long we keep it
We keep booking correspondence for up to six years after the event (in line with normal record-keeping for contracts). We keep membership enquiries for up to a year, unless you join. We keep mailing-list details until you unsubscribe. We delete or anonymise information we no longer need.
Cookies and analytics
This website uses cookies that are necessary for it to function, and Squarespace's built-in analytics, which give us anonymous information about how the site is used (such as page views and approximate location). We don't use advertising cookies and we don't track you across other websites.
Your rights
You have the right to ask us for a copy of the information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, and to withdraw consent where consent is our basis for using it. To do any of these, email us at hello@llantrisantchoir.com — we'll respond within a month.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113 — though we'd welcome the chance to put things right first.
